Dealer
DataSafe
(DDS)
is a new service that provides a complete backup
solution to our current customers. Presently, our
customers must provide their own method to backup
their vital dealership database. The goal of DDS
is to provide our dealers with a safe, secure,
and totally hands-free way to back up their database
in case of a hardware failure, theft, or natural
disaster.
The
DDS service consists of two components. The first
component is a client Windows application that runs
natively in the system tray. This client has two
primary functions. It functions as a user interface
providing logged information to the user, and it
controls the background processes required for
encryption, backup, and transfer to our secure
backup server. The second component is a server
based application that authenticates the user’s
logon information and stores the backup information.
Here is what happens when a user signs up for Dealer
Data Safe:
First, we enter the user into the DDS system. This
consists primarily of assigning them a username and
password, entering a time of day to perform the
automatic backup, and creating a folder on our
server to store their backups. We also collect some
dealer information such as the dealership name, city
and state for organizational purposes.
Second, we install the client application on the
user’s system. This application must be installed
on each computer that contains a database for
backup. In the case of a network of computers
sharing one database on a server, the program only
needs to be installed on the server.
The
first time the user runs the DDS program, they will
be prompted for some information. They must enter
their username and password. They must also find
the database on their system or network which the
wish to back up. They also can optionally choose a
folder that will be zipped and sent to our server
for storage any time the database backup occurs.
For instance, they may wish to select the directory
containing pictures of their inventory, or a
directory containing important documents. Any
sub-directories will be included in the back
up.
Once this information is entered into the settings
panel, the client will contact the server to make
sure the user is an authorized DDS user. Upon
successful login, the server will send the client
the time for the next backup and the location on the
server to store the user’s data. Finally, DDS will
resume normal functionality. The log information
updates the user on any activities that DDS is
performing such as backup, encryption, upload, etc.
The user can also force a manual backup/upload by
clicking the “Backup Now” button. In addition, the
user can make changes to the settings by clicking
the “Tools” menu and selecting “Settings”.

DDS securely encrypts to protect the customer’s
data.

The
user’s data is encrypted using a 64 digit, randomly
generated 2048-bit encrypted password. NOTE: For
security reasons this password is ONLY displayed to
the user ONCE and we have absolutely NO access to
it. They MUST write the password down and store it
somewhere safe on their own. This password is
critical in the case of a hardware failure on the
user’s end. If their hard drive crashes and they
need to restore, their databases can ONLY be
decrypted using the password.

KGI
Solutions, LLC has no access to the user’s
encryption password. Therefore, we cannot decrypt
their information. All of the user’s backups will
remain completely private.

The
user’s backup time can only be set by KGI Solutions,
LLC. This is to protect the user from accidentally
missing a backup cycle, and to keep everything hands
free.

If
the upload to our server fails for any reason, the
program will attempt to upload every five minutes
for the next hour. Failing this, the DDS software
will revert to its normal upload time and resume its
normal upload cycle of once every 24 hours (this may
change to twice every 24 hours in the near future).
